Soft Proofing in Packaging: What It Is, How It Works, and Why It’s Your Best Defense Against Printing Errors

Years ago, while working at a branding agency, we experienced one of those crises that nobody ever forgets. In the middle of a print run for thousands of boxes of frozen cannelloni, the client called: on one side of the box, where the product image and text were supposed to appear, the image and text for their lasagna had been printed instead. Same manufacturer, same product line, completely different product.

The incorrect artwork had passed through many hands, many departments, and many reviews. And yet it still made it to the printing press. The consequences: an entire print run lost, production halted, a delayed launch, an unhappy client, and costs running into the tens of thousands of euros.

What is soft proofing?

Soft proofing is the digital review and validation of artwork before it is sent to print. In the context of packaging management, it encompasses the entire digital review process: automatic version comparison, text and barcode validation, collaborative annotations, and formal document approval before it is sent to the printer.

How soft proofing works in MyMediaConnect

The automatic version comparator analyzes two PDFs and highlights every difference: changed text, altered nutritional percentages, missing layers, or modified colors. The system detects everything, without tiring and without the risk of missing anything. Artwork is displayed natively in the browser at high resolution. A structured approval workflow logs every approval, including the date, time, and user. Role-based validation checklists ensure that each reviewer confirms their specific criteria before approving.

How much can soft proofing save you?

The cost of a packaging error that makes it to the printing stage typically ranges from €5,000 to €150,000 in direct costs (reprinting, machine downtime, launch delays). In the pharmaceutical industry, or when the error involves allergen information or regulatory texts, the cost can be much higher if it leads to a product recall.
